Halloween Food Drive and Bazaar

YOUR RESPONSIBILITIES AS A VENDOR

 

EVERY VENDOR IS RESPONSIBLE FOR PASSING OUT TREATS TO CHILDREN THROUGHOUT THE EVENT, PLEASE MAKE SURE YOU BRING ENOUGH TO LAST THE DURATION

Auction/raffle: As part of an additional fundraiser, we are asking each vendor to consider donating an item to be used in our Silent Auction at the event. If you are interested in participating, please provide a description and dollar value of item to be donated.

This event will take place Sunday October 21, 2012 from pm until dusk, with set-up from 2-3. Our goal is treat this as both a street fair and a mini trick or treat for the kids. This event will be held in the street of Edgewood Terrace Drive in Greensboro. The street will be closed by the city for the event from 2pm until dusk. Please have your space completely set up by 3pm. We ask all vendors have the street cleared by 7:30pm, We are there regardless of the weather… cold, rain, wind, etc., so be prepared for anything.

– We will provide you with ONE space matching the dimensions listed below; you must provide your own tables, tents, chairs and other supplies.

– Tent weights are a MUST. You can purchase them at any sporting goods store or make your own. A good weight for EACH LEG is about 20 lbs.

– You are responsible for collecting and remitting all sales tax liabilities for your business.

– Please keep in mind that this event will last into the evening and is rain or shine.

Electric availability is VERY limited outdoors. If you require electrical outlet access, there is an additional fee of $15.00. We will fulfill these requests to the best of our ability on a first come, first served basis. (you will need to bring your own electrical cords and extension cords)No heaters, fans, coffee makers, radios, tools, etc. are to be plugged in to the electrical outlets! If you bring a propane or other type of gas heater, YOU MUST FURNISH YOUR OWN FIRE EXTINGUISHER.

– You are responsible for the trash in your space! Please dispose of your garbage properly.

– Please make sure at least one person is in your tent at all times. Organizers are not responsible for lost, stolen, or broken items.

– Help us advertise by hanging posters, passing out cards, blogging, email, Facebook, Twitter, etc.

A modest fee will be required to reserve a space. This fee helps us cover the fees for permits and insurance for the event.

 

OUR RESPONSIBILITY AS AN ORGANIZER

– We provide you with ONE space as designated

– We provide insurance and permit for the Halloween Charity Event as a group (excluding Insurance for Food Vendors). This allows you to participate without having to purchase any additional permits or insurance for your individual business. If you are a food vendor, you must have your own insurance, as ours does not cover food related incidents.

– We provide as much advertising as we can to promote the Event as a whole, including but not limited to posters, cards and internet ads.

– A restroom is located inside the studio for use by the vendors.

 

 

 

Terms and Conditions:

  • No Refunds / No Rain Date
  • Booths are rented on a first come, first serve basis. We reserve the right to limit the number of Direct Sales Vendors and also reserve the right to limit the number of vendors in a particular category (i.e. jewelry)
  • The coordinators may choose to deny a vendor based on appropriateness of products and duplication of vendors.
  • $10.00 fee for 6 ft table space, $15.00 fee for 10×10 tent/canopy space (you must provide your own)
  • Electrical access is an additional $ 15.00 fee. NOTE: Electrical access is very limited and will be approved on a first come, first serve basis.
  • Participants are responsible for the set-up and clean up of their booths. Participants cannot impair others booths (i.e. sign or display blockage).
  • Vendors keep all profits from their booths.
